A successful go-live is not the finish line. It is the starting point. Many ERP implementations meet their technical milestones only to fail six months later, when people revert to spreadsheets, workarounds multiply, and the data in the system becomes unreliable.
The failure is rarely technical. It is behavioural.
Why adoption drops
People adopt a system when the path of least resistance runs through it. When the system is slower, harder to understand, or less reliable than the old workaround, the workaround wins.
Common causes:
- Training was generic and not tied to actual daily tasks
- The system was configured for management reporting, not for the person entering data
- Support responses are slow, so people invent fixes
- Workarounds from the old process were not retired
Training by role, not by module
A warehouse operator does not need the general ledger. A finance lead does not need the picking screen. Role-based training teaches each person the four or five screens they use every day, using your configured records and your terminology.
Administrator training is equally important. If only the implementer can change a workflow, every small change becomes a ticket.
Floor support at the moment of change
The first days of live operation determine whether good habits form. Having someone available to answer questions in seconds prevents bad workarounds from taking root. The cost of floor support is small compared to the cost of retraining six months later.
Process discipline
The system cannot enforce discipline the business does not want. If approvals still happen in chat, the workflow in the system becomes decoration. Leadership has to retire the old channels and insist the system is the source of truth.
Measuring adoption
Track leading indicators, not just login counts:
- Percentage of transactions entered in the system vs. spreadsheets
- Time from order entry to invoice
- Support ticket volume by process area
- Variance between physical stock and system stock
